Activities Director Job Description
Reports to: Sitka High School Principal
Salary: $103,041.12 – DOE
Classification: According to the Administrator’s Negotiated Agreement
Position Goals:
1. Build a comprehensive activities program at Sitka High School
2. Establish corporate partnerships
3. Strengthen Sitka High School’s activities brand
4. Facilitate a culture of success within all athletic teams and academic groups
Qualifications:
1. Type B Administrative Certificate or evidence of admission to an Administrative Certification program.
2. Experience in leadership, supervision, and financial management
3. First aid certification
4. Strong organizational and communication skills
Responsibilities:
Management of Programs & Student Participation:
1. Collaborate with the administrative leadership to codify Activities Standard Operating Procedures (SOP) ensuring that it remains compliant with ASAA updates, student needs, and board policy.
2. Work with Athletic Directors across the state to build a cohesive schedule that meets the program’s mission, competitive aspirations, fiscal needs and the coaching staff’s requests when possible.
3. Attend Region V, State, and division meetings to stay abreast of ASAA policy and protocol and ensure that SSD remains in compliance.
4. Certify that all participants have their required documentation (eligibility, physicals, emergency treatment, and permission forms completed) prior to participation.
5. Ensure that students’ eligibility is completed periodically for each participant as required by ASAA and district policies.
6. Arrange transportation to and from events for all participants including flights, ferry transfers, and ground transportation.
7. Reserve lodging and review room assignments.
8. Provide coaches with guidance on procedures and protocols to ensure that study requirements are met and documented during periods of travel.
9. Arrange for officials, timers, and scorekeepers for each home activity at least two weeks in advance and, when necessary, arrange for travel.
10. Coordinate broadcasting (when applicable) for home events.
11. Procure an in-game announcer for facilitating game, half-time, and tournament information.
12. Ensure that custodial staff are scheduled for each home event.
13. Arrange to have concession, gate, and concessions personnel (when necessary) for home events
14. Provide room assignments for home activities to visiting teams as necessary.
15. Ensure that state championship award recipients receive an award from the school as well as denoted as state champions on their activities respective banner (These should include updates from past year state championship award winners).
Supervision of Coaches, Advisors, and Chaperones:
1. Lead the hiring and evaluation of coaches utilizing an approved process.
2. Collaborate with the administrative leadership to host an annual comprehensive orientation training for all coaches which includes procedures, job responsibilities, ASAA mandates, and question/answer opportunities.
3. Confirm that each coach has completed their required mandatory trainings.
4. Conduct a meeting with the head coach/advisor for each activity and review their financial picture and fundraising expectations for the program.
5. Supervise all coaches and maintain documentation of performance to be utilized during post-season evaluations.
6. Meet with coaches to discuss strategic initiatives for the upcoming year.
7. Provide training to each coach regarding the SHS Activities SOP.
8. Provide guidance and training for all coaches to ensure that the district’s mission and vision are demonstrated by leadership within each activity.
9. Provide guidance and training for chaperones prior to travel.
Communication:
1. Attend and support a Parent Information Night before the start of each season.
2. Notify staff in a timely fashion anytime activity members will be traveling.
3. Meet with the coaches, administrators, and administrative staff a week prior to each home event to explain logistics and review the schedule.
4. Publicly broadcast and share information pertaining to upcoming games/tournaments with the community.
Finance Management:
1. Participate in the District Activities Committee each year to determine funding distribution from taxes that reduce family contributions for student travel.
2. Develop an activities budget for each upcoming academic year based upon the budget approved by the school board.
3. Work closely and collaboratively with the accounting secretary to reconcile the activities funds for each program in collaboration with the head coach of each activity.
4. Regularly communicate with the principal, keeping them informed of fiscal
matters pertaining to each program.

The Sitka School District is a friendly community located in the beautiful City and Borough of Sitka, Alaska. With a population of around 8,000 the town is situated in the heart of the Tongass National Rain Forest on the Gulf of Alaska. There is world class fishing, hunting, hiking, camping and numerous other outdoor activities that are easily accessible. There are five Schools: Xóots Elementary School (PK-1), Kéet Gooshí Héen Elementary School (2-5), Blatchley Middle School (6-8), Sitka High School (9-12), and Pacific High School (9-12 alternative). The District has approximately 1050 Students (PK-12).
